Platform guide

How the TrustXP platform works

Everything you need to use the TrustXP collaborative platform: creating an account, what each role can do, how a project moves from a brief to accepted delivery, and what each status means.

Applies to the platform as currently released · Updated

On this page

What the platform is

A private workspace where a client, TrustXP and approved delivery partners run a product project together, from the first brief to accepted delivery.

Clients describe what they want to build in a brief, or request managed work with an order. TrustXP reviews it and, if it goes ahead, sets up a project with an approved delivery partner and named milestones. The partner submits each milestone as a numbered revision. TrustXP reviews every revision before the client sees it, and the client approver accepts it or requests changes. Every step is recorded.

Clients

Submit briefs or place orders, follow progress and make the final decision on every delivery.

TrustXP

Reviews briefs and orders, assembles the project team, reviews each revision and stays accountable for the outcome.

Delivery partners

Independent, approved companies that deliver the milestones they are assigned.

The platform is for coordinating and recording the work: who is responsible, what was delivered, what was reviewed and what was decided. It does not take payments or confirm prices.

The home page introduces the workflow with labelled workspace examples and illustrative engineering images. Those images do not depict a specific TrustXP facility, client or project; your actual work and progress appear in your signed-in workspace.

Getting started

How you get an account depends on who you are.

Clients: create an account

  1. Go to Create your account (also Start a project on the home page).
  2. Enter your full name, email address and an organization or project name. TrustXP creates a private client workspace with that name.
  3. Choose a password of at least 12 characters and confirm it, then select Create account.
  4. You’ll see Your account is ready. Sign in to reach your workspace, then place an order or submit a brief.

Delivery partners: request a partnership

Companies that want to deliver work through TrustXP apply first. Use Request a partnership (also on the home page, under For partners).

  1. Enter your company name, country and, optionally, your website.
  2. Choose the capabilities your company offers, and describe what you do: products you’ve worked on, facilities and certifications.
  3. Add the contact person’s name, optional job title and work email, then select Send partnership request.
  4. You’ll see Request received. A TrustXP administrator reviews the request.

If the request is approved, TrustXP creates your partner organization, approves it for the capabilities that fit, and emails the contact person a private link to create the partner account. The platform doesn’t send that email itself and doesn’t notify you of a decision; TrustXP contacts you directly. While a request from your email address is under review, sending the form again doesn’t create a second request.

Partners and invited colleagues: join with your link

Each person at a partner company gets their own private invitation link from TrustXP. Client colleagues are invited the same way.

  1. Open the link TrustXP sent you. It opens Your invitation with your name, email address and the organization you’re joining.
  2. Choose a password of at least 12 characters and confirm it. If you already have a TrustXP account, use your current password instead.
  3. Select Join. When you see that you’ve joined, sign in.

Each link works once and expires 48 hours after it was created. An account can belong to one client organization and one partner organization, so a partner’s people can also join their own client team.

TrustXP administrators: accept an invitation

  1. Open the private invitation link sent to you by the TrustXP superior admin. The platform itself sends no email; the link reaches you directly.
  2. Check that the invitation shows your name and email address. It works only for that address.
  3. Choose a password of at least 12 characters and select Accept invitation. If you already have a TrustXP account, use your current password instead. Each link works once and expires 48 hours after it is created.
  4. When you see Invitation accepted, sign in to open your admin workspace.

Signing in and out

Sign in at Sign in to your workspace with your email address and password. Use Sign out at the bottom of the sidebar when you finish, especially on a shared computer. Signing out ends that session immediately.

Roles and permissions

What you can do depends on two things: the organization you belong to and your role in a project.

Your organization

Client organization member
Submits briefs and places orders, and sees every brief and order from their own organization. Sees delivery details only for projects they are a member of.
Delivery partner
Sees only the projects their organization was assigned to and in which they are a contributor.
TrustXP project manager
Works the Intake queue and manages the projects they set up.
TrustXP administrator
Everything a project manager can do, plus the Admin workspace and oversight of every project.
TrustXP owner
Everything an administrator can do, plus managing administrator accounts. The superior admin is the only person who can invite administrators.

Every project has one designated client approver, chosen by TrustXP from the client organization at setup. Projects can also include client viewers, who can follow everything but make no decisions.

How a project runs

Five recorded steps. At each one the workspace offers the action only to the person who holds it.

  1. Client

    Brief or order

The client submits a brief or places an order describing what they need.

  2. TrustXP

    Project setup

TrustXP reviews the request, then creates the project with its partner, client approver and milestones.

  3. Partner

    Partner delivery

The responsible partner submits a revision for each milestone.

  4. TrustXP

    TrustXP review

TrustXP sends the revision to the client, or back to the partner with a reason.

  5. Client

    Client decision

The client approver accepts the exact revision or requests changes with a reason.

  6. Project

    Completed

When every required milestone is accepted, TrustXP completes the project.

The delivery loop for each milestone

A milestone can go around the loop as many times as needed. Each pass creates a new numbered revision. Earlier revisions and their decisions are never overwritten.

OpenPartner submitsSubmittedTrustXP reviewsReady for clientClient decidesAcceptedDone

If TrustXP or the client requests changes, the milestone returns to Open with the reason attached, and the partner submits a new revision.

For clients

Submit briefs or place orders, follow every request, and make the final decision on every delivery.

Your workspace

After you sign in you land on Your workspace, which shows Orders awaiting admin, Briefs awaiting review, Projects in progress, Deliveries for your review and Completed projects. Below these, Needs your attention lists deliveries waiting for your decision, followed by your Recent orders. The sidebar gives you Overview, Orders, Briefs, Projects, Support and Account.

Brief or order?

BriefOrder
Use it toDescribe a product idea, technical challenge, RFQ or requirement for TrustXP to reviewRequest managed engineering work, with the outcome, quantities, specifications and timing you need
WhereBriefs → New briefOrders → Place an order
After you submitBoth go to TrustXP for review. TrustXP either sets up a delivery project or declines with a reason. Neither takes a payment, confirms a price, promises a date or creates a contract.

You can use both. Briefs appear under Briefs and orders under Orders.

Place an order

  1. Select Place an order on the overview or on Orders.
  2. Give it an Order title.
  3. In Project description, include the outcome, quantities, specifications, preferred timing and any constraints (at least 10 characters).
  4. Optionally add a Target market.
  5. Select Submit order to admin. The order’s page opens with “Your order has been submitted to the admin team.” and its Order reference.

Follow an order

Orders lists your organization’s orders, newest first. Each order’s page shows its reference, your requirements, its status, the next step and its Order history: submitted, review started, declined with the reason, or delivery arranged. Once delivery is arranged, it shows accepted milestones and the next milestone due date, with Open delivery workspace, or Review delivery when something needs your decision.

Colleagues in your organization can read your organization’s orders. Delivery details and the project are shown only to people who are members of that project.

Submit a brief

  1. Open Briefs (or Submit a brief on the overview) and select New brief.
  2. Give it a clear Brief title.
  3. In Project description, describe the product idea, technical challenge, RFQ or manufacturing requirement (at least 10 characters).
  4. Optionally add a Target market, then select Submit brief. You’ll see “Your project brief has been submitted.”

The Briefs page lists your organization’s briefs with their status. When a brief becomes a project, use Open project. If TrustXP declines a brief, the Reason from TrustXP appears with it.

Work in a project

Each project opens on a summary that shows Required milestones accepted, the number of milestones and Waiting on you. Below that is a board showing the stage of every milestone. Milestones that need your action carry a Your action badge.

Accept a delivery or request changes

  1. From Needs your attention select Review delivery, or open a milestone marked Ready for client and select Read latest submission.
  2. Read the delivery text, and the earlier revisions and decisions if you need them (Revision history).
  3. In Client decision, choose Accept delivery or Request changes.
  4. Add a reason or note. A reason is required when you request changes, and everyone on the project can read it.
  5. Select Save client decision. Your decision applies to the exact revision you reviewed.

Support and account

Support explains how to reach the TrustXP team. Email TrustXP opens your own email application. On an order’s page, the email subject includes the order reference. Account shows your name, email address and organization; to correct them, contact support.

For delivery partners

Deliver named milestones with every review and change reason in writing.

Find your work

Projects lists only the projects you are assigned to. Inside a project, the milestones you are responsible for show Your action when a delivery is due.

Submit a delivery

  1. On an Open milestone you are responsible for, select Submit delivery.
  2. Write the delivery in Delivery text, up to 16,000 characters: what you delivered, how it meets the milestone, results, open points and any links your project team agreed to use.
  3. Select Save delivery revision. It is saved as the milestone’s next numbered revision (R1, R2 and so on) and moves to Submitted for TrustXP review.

Ordering from TrustXP yourself

Partners can also be clients. Select Client workspace in the sidebar to open your own client workspace. It is created on first use, and there you can place orders or submit briefs to TrustXP. Partner workspace takes you back. Each browser tab keeps its own workspace.

When changes are requested

If TrustXP or the client requests changes, the milestone returns to Open and shows “Changes were requested. Submit a new revision when it is ready.” Read the reason in Revision history, then submit a new revision. Earlier revisions stay readable.

For TrustXP project managers

Shape each project once and own it through to completion.

Review incoming briefs and orders

  1. Open Intake. Each request is tagged Brief or Order, and new ones show “New request. Start a review to set up a project or decline it.” Both kinds follow the same steps.
  2. Open a brief with Read brief and select Start review. The client sees that TrustXP is reviewing it.
  3. Either Set up project or Decline brief. A decline needs a clear reason, and the client reads it with the brief.

Set up a project

  1. Confirm the Project title.
  2. Choose the Approved partner (each shows its recorded capabilities) and its Partner contributor.
  3. Choose the Client approver from the client’s organization.
  4. Add between 1 and 10 Initial milestones. Each has a title, can be required or optional, and can have a due date. At least one must be required. Milestones are assigned to the selected partner contributor.
  5. Select Set up project. You become the project’s manager and the brief shows as converted.

Review revisions

On a milestone marked Submitted, read the latest submission and choose a Review outcome: Send to client or Request changes (a reason is required). Then select Save review. Work reaches the client only after your review.

Complete the project

When every required milestone is accepted, Complete project becomes available. Completion closes the project. Its milestones, revisions and decisions stay readable to the team, and optional milestones that were never accepted are shown as closed.

For administrators

TrustXP owners and administrators have their own guide inside the admin portal.

Administration covers account control, administrator invitations, organizations and partnership requests, intake, project oversight and the administrator activity record. It is documented in the Admin guide, which is available only after signing in with an owner or administrator account. It is not published on this public page.

Records, privacy and security

  • Private by project: only people assigned to a project can open it, even inside the same company. TrustXP owners and administrators have oversight of every project.
  • Briefs and orders: visible only to the submitting client organization and TrustXP. An order’s history shows only its review steps, never internal notes.
  • Nothing overwritten: every delivery is kept as a numbered revision, with its own review and decisions.
  • Reasons on record: requests for changes and declined briefs always carry a written reason that the people involved can read.
  • Times: dates in the workspace are shown in Lagos time.
  • Sessions: sign-in uses secure, HTTP-only cookies. The workspace rechecks your access when you return to the tab, and a change to your access takes effect immediately.
  • Safe saves: if the connection drops during a save, Retry save repeats the same request without creating duplicates. If someone else changed the same item first, you’ll be asked to reload instead of overwriting their work.
  • Notifications: the platform does not send email yet. Your workspace is the place to check.

Questions and troubleshooting

I signed in but I can’t see my project.
You only see projects you are a member of. A project manager adds client approvers and partner contributors when the project is set up. If you expected an assignment, contact your TrustXP project manager.
Why is there no “Submit delivery” button?
Only the partner contributor responsible for a milestone can submit, and only while the milestone is Open. If a revision is already with TrustXP or the client, wait for the review or decision. Completed projects are read-only.
Why can’t I accept a delivery?
Acceptance belongs to the project’s designated client approver, and only after TrustXP has reviewed the revision and sent it to the client (Ready for client). Client viewers can read the project but do not make decisions.
Can TrustXP accept work on my behalf?
No. TrustXP reviews revisions and can request changes, but only the client approver can accept a delivery.
What’s the difference between a brief and an order?
A brief describes an idea, challenge, RFQ or requirement for TrustXP to review. An order requests managed engineering work, with quantities, specifications and timing. Both are reviewed by TrustXP and can become a delivery project. Use whichever fits; you can use both.
Does placing an order commit me to pay?
No. Submitting an order doesn’t take a payment, confirm a price, promise a completion date or create a contract. It asks TrustXP to review your requirements.
Can I attach files to a brief or a delivery?
Not in this release. Briefs and deliveries are written text. A delivery revision can be up to 16,000 characters.
Will I get an email when something needs me?
The platform does not send email notifications yet. Check Waiting on you at the top of each project and the Your action badge on milestones.
How does my company become a delivery partner?
Send a partnership request. A TrustXP administrator reviews it. If it’s approved, TrustXP emails your contact person a private link to create the partner account; the link works once and expires after 48 hours.
I sent a partnership request. When will I hear back?
TrustXP contacts you directly at the email address in your request. The platform doesn’t send decision emails. If your account link has expired before you used it, ask TrustXP for a new one.
How do I add a colleague?
Ask TrustXP. TrustXP creates a private invitation link for your colleague, who joins your organization with it. Each person has their own account.
I’m a partner. Can I also order work from TrustXP?
Yes. Select Client workspace in the sidebar to open your own client workspace and place orders or submit briefs, then use Partner workspace to switch back.
I forgot my password.
There is no self-service reset yet. Email info@trustxpengineering.com from the address you registered with. TrustXP can set a new password, and your existing sessions are signed out when it does.
Can I change a brief or order after submitting it?
Briefs and orders can’t be edited once submitted. Contact the team through Support with the order reference, or submit a revised brief or order that explains the change.
The page says the item changed and asks me to reload.
Someone else updated the same brief, project or milestone while you had it open. Reload to see the current version, then repeat your action if it is still needed. This prevents two people overwriting each other.
My save failed. Will retrying create a duplicate?
No. When a save can’t be confirmed, use Retry save. The retry carries the same request, so the platform records it only once.
It says “Please wait before trying again.”
Repeated attempts in a short time are briefly limited to protect accounts. Wait a moment and try again.
I was signed out unexpectedly.
A session ends when you sign out, when TrustXP sets a new password for you, or when an administrator changes your access. Sign in again. If your access was removed, contact TrustXP.
